Advantages of Email
The abbreviated form of electronic mail is 'email'. It is a system used for creating, sending and storing textual data in the digital form over a network. Earlier, the email system was based on the Simple Mail Transfer Protocol (SMTP) mechanism, a protocol used for sending emails from one server to another. Today's email technology uses the store-and-forward model. In this model, the user sends and receives information on their own computer terminal. However, the computer is used only for connecting to the email architecture. The creation, transmission and storage of email takes place only when the connection with this email architecture is established.
Email is one of the many technological developments to have influenced our lives. It has changed the medium of communication. So, it becomes necessary for us to look at the benefits and problems from this popular mailing tool.
Advantages of Email
There are numerous benefits of using an email service. These benefits are compiled in an easy-to-understand manner for the readers.
- Easy to use: Sending an email frees us from the tedious task of managing data for daily use. It helps us manage our contacts, send mails quickly, maintain our mail history, store the required information, etc.
- Speed: An email is delivered instantly and anywhere across the globe. No other service matches the email in terms of speed. You can send the same message/mail to multiple users simultaneously; thus, a lot of time is saved.
- Easy to prioritize: Since emails come with a subject line, it is easy to prioritize them and ignore the ones that are unwanted.
- Reliable and secure: Constant efforts are taken to improve the security in electronic mails. It makes the email one of the secured ways of communication.
- Informal and conversational: The language used in emails is generally simple and thus, makes the process of communication informal. Sending and receiving emails takes less time, so it can be used as a tool for interaction.
- Easier for reference: When a person has to reply to a mail, he/she can use the provision of attaching previous mails as references. It helps refresh the recipient's know-how on what he is reading.
- Automated emails: It is possible to send automated emails using special programs like the autoresponders. The autoresponders reply only to those messages with a generalized, pre-written text.
- Environment friendly: Postal mails use paper as a medium to send letters. Electronic mail therefore, prevents a large number of trees from getting axed. It also saves the fuel needed for transportation.
- Use of graphics: Colorful greeting cards and interesting pictures can be sent through emails. It adds value to the email service.
- Advertising tool: Nowadays, many individuals and companies are using the email service to advertise their products, services, etc.
- Cheap Service: The expenses incurred in using an email service are less. However, it also depends on whether you have an Internet connection at home.
- Data Storage: The providers of email service offer enough space for data storage. Also, the process of sorting and arranging mails as per the subject, date, etc. is made quite easy for users.
- Provision of Attachments: The feature of attachments allow users to send huge chunks of data in the same mail. Also, sending attachments doesn't raise the cost as in the postal service.
On previewing the highly developed and sophisticated technicalities, definition of email can simply be stated as, 'a form of mail sent ...

Disadvantages Of Using Free Email Services Like Yahoo, Google Etc
The most important disadvantage is the security and privacy. We cannot control our privacy and security of our emails and profile data. All the free email service providers including Gmail, Yahoo and hotmail say that they guarantee the full privacy. But can we make sure that they actually do that. Most of us receive unwanted emails (spam) even if we don't provide our email addresses to a third party. Some of you may know that many free email services sell their email addresses to various marketing companies. Therefore we can't believe on the guarantees of these free email service providers.
Another disadvantage is most of these free email services provides simple web based email facilities where we can't do many modifications. For an example if we use Gmail web interface to send an email, it is very hard to add a picture from our local machine instead of sending as an attachment. It also limits the customization of text and images. It is hard to add a customized email signature also.
Many companies provide free email services to make it as a good advertising and marketing medium. Actually that's all they want and don't care about how it affects the email user. For an example when you log into your Gmail or Yahoo email account, you will see advertisements in the right side and top. This is not a big headache in Gmail, but in Yahoo it is a real headache especially with their new webmail interface. I'm not comfortable with it and actually it is a headache for me. I think that most of you feel in the same way. It is possible to assume that we will lose our actual email workspace size in the coming future where more and more advertising and marketing methods are added to our web email interface. Up to now, there is one way that we can stop this by configuring an email client like Outlook or Thunderbird for our email account.
As far as I know, some companies and individuals pay less attention to the emails they receive from free email services addresses as they experience that most of them are spam. Due to this, there is a great possibility that they will miss very important emails sent to them. This will also affect us if we send important emails from free email services.
Therefore it is better if you can have a personal email account in your own domain (Ex. yourname@yourdomain.com) if it is affordable. If not, make sure that you use an email client and put an attractive mail subject where the receiver will put more attention to your email.

Advantages of your Own Domain Name
Disadvantages of Free ISP's Domain
Other Benefits of Inglepine Hosting
Email forwarding allows leaders in the church to have a church email address, but it does not require them to change their own ISP or their existing mailbox setup. The individual concerned can decide whether or not to change the return address in their own email setup to match their church email address. An address such as elders@xyz-church.org.uk can be set up which will forward email to all the elders in the church. An autoresponder allows you to set up text that will be emailed back to anyone who emails a specific email address. For example, an email sent to diary@xyz-church.org.uk could get an automatic reply with the days and times of all of this week's meetings. We will provide all of this from only £40 per year (no VAT payable). Note that if you have a exceptionally busy site, there may be additional charges - see our full details page.
Warning
You might be able to find some cheaper solutions than ours. However, please ask the following questions to make sure you are getting what you expect:Source: [inglepine.net]

Benefits of Using Own Domain Email on Google Apps Gmail
Reliability/Uptime
Our web servers keep experiencing downs and crashes, and it is a pain when you are on a shared server or low-memory VPS. Imagine you were using your hosting company’s web mail, and had to receive an important email that time when your website/server was down. It will simply bounce. By using Google Apps Gmail you overcome this, as when you use Google Apps all the associated data will be stored on Google Data centers which runs your Email services effortlessly and gives 99.9% uptime.Collaboration
Domain users can share their calendar from any computer, see when people are available, send invitations, manage RSVPs, do real time editing on documents, spreadsheets & presentations. Also access Instant Messaging (IM)(Using Gtalk) from any computer.Space
If you have a small dedicated or VPS Hosting, then you probably get small amount of hard drive space, and Email particularly takes a lot of space especially if you have many users. Going with Google Apps Email helps here again, as it provides at least 7 GB of storage on Email accounts and this also increases your server’s efficiency as the load is not on your server for the Email services.Security
Your SMTP server might get flooded with Spam or SQL hacks might steal credentials of your users. You overcome these also because of Google Apps. You can even disable the email server that came with your hosting account, that is the IMAP/POP3 server and the SMTP. This saves memory too. Conclusion
There are many more reasons for you to go with Google Apps Gmail, but if you need customized Email service for your company, like custom layout and branding on your users mailboxes then Google Apps Gmail might not be a great option as it isn’t really very flexible. If you need to use for personal purposes or branding doesnt matters, then Google Apps it is! Even if you have a huge organization you can still go with Google Apps as they have multiple editions to suit your needs, plus you get all the Google Apps benefits.Source: [priteshgupta.com]

Domain Email vs. ISP "Free" Email
Are you still using your ISP email instead of your domain email for your electronic business correspondence?
You may be asking yourself: "Domain email - what is that? Isn't an email address an email address? What difference does it make what email address I use?"
When you signed up for Internet access, your provider probably issued you an email address as part of the Internet connection account (example yourbusiness@yourISP.com ). Or you may have registered a Yahoo or Hotmail account for email correspondence and use these addresses for your business.
f you register a domain name or have a web site, you may also have the capability of domain based email (example: sales@yourcompany.com ) through the domain registrar or your hosting service.
Many people find this email mumbo-jumbo to be very confusing. After all, their business name is in the first part of the email address they registered with their ISP - right? Isn't that good enough for people to know who they are?
Let's take a look at the differences.
Every time you send out an email message using an email address with an extension that is not your domain (the part after the @ sign), you are branding a company, whether it is your ISP, a free email provider, or your company. Why not brand your own business?
Let's say I have an email address of clearwaterwebsolutions@hotmail.com . Many people know that you can remove the first part of the email address from the @ sign forward and go to a web site? In this example, my email address is clwwebsolutions@hotmail.com . If we remove the 'clearwaterwebsolutions@' we end up with hotmail.com.
Now, if I am using my domain email address of info@clearwaterwebsolutions.com and we remove 'info@', my domain name is what remains-clearwaterwebsolutions.com.
Which web site would you prefer they go to from your email messages?
This is also another way of branding your domain name. Every email message you send will contain your web site address. If you are using any other email address you are losing potential customers.
Another advantage to using your domain email is that your email address doesn’t change as long as your domain name is registered.
For example, if you are using your ISP email address and move or decide to change Internet connection services, your email address will change. Another situation is if your ISP changes hands or is bought by another company, your email address may change without you having any say about it.
You will need to contact everyone in your address book and let them know your new address. If your email address has been used for any kind of promotion for your web site you are stuck with it on the printed materials until you have new ones printed. Or if your email address has been used for any kind of promotional activities it is almost impossible to try to find every place online that has your email address and have it changed. If your email address is listed with your contact information with your domain registration, you will definitely want to have it changed immediately or you will have a heck of a time making any kind of changes to your registration records.
If you consistently use domain email for all of your business correspondence you can use whatever ISP you chose, you can move as many times as you want to, and you can host your site wherever you chose (as long as domain email is available with the hosting service). You don't have to worry about notifying everyone in your list that you changed Internet connection providers or that you have moved. You don't have to reprint all of your advertising materials. You don't have to worry about important messages not getting to you because you no longer have an outdated email address.
Another advantage to domain email is that employees can each have an individual email address ( employee@yourdomain.com ) . You can also use email aliases for various purposes such as sales@yourdomain.com , info@yourdomain.com , etc.) all using one main address. Aliases can be very handy for marketing purposes and organizing email, but that is a whole other subject. You can find more information about this topic at http://www.i-m-r-c.com/article/pip4.htm.
If you are serious about the success of your business online, you will definitely want to use your domain email for ALL email correspondence.
